Member Management

 

This page explains the [ Members ] tab on which you can manage members.

You can perform operations such as inviting new members as well as changing and deleting their roles.

 


 

If you open the [ Members ] tab for the first time, only the account information of the tenant administrator will have been registered.

The privileges for this information cannot be changed or deleted by the administrator.

 

 

How to invite members



Perform the following procedure to invite members to a tenant.

Before you invite members, check their roles and the privileges for the used applications.

 

 

  1. Click the edit () icon to the right of the name of the tenant you are managing.


  2.  On the [ Members ] tab, click the [ Invite member ] button to open the [ Invite Member ] window.



  3. Enter a valid e-mail address of the member you want to invite, and select a language for [ Preferred Language ] and one or more roles for [ Select Role ].



  4. Select the application(s) to be used as necessary.



  5. At the end, click the [ Invite ] button to send an invitation message to the e-mail address you entered.
    The invited member will register an account by following the procedure described in the message received.


 

 

Also, you can access the [ Members ] page  of the tenant you are logging in from the my account ( ) icon at the right end of the menu bar placed at the top of the portal.

 

 

 

 

How to change roles of members


 

On the [ Member ] tab, you can change roles of an account that has already been registered as a member.

 

 

  1. In the example below, for the member displayed in the second row, reselect the checkbox(es) to change the role(s).



  2. After checking the riths of the tenant member table described in a separate document  and changing the roles, click the [ Save ] button to fix the change.



  3. As for members whose roles have been changed, sing in to the portal again to reflect the latest roles.

Changing a representative manager of a tenant



If there are other members who have the privileges of "tenant owner" in the tenant and their accounts have already been registered, you can change the current representative administrator of the tenant to one of those members.

 

  1. The option of "Change primary tenant owner" is displayed in the [ Actions ] section only for the current representative tenant administrator.
    Also, the current representative tenant administrator holds the account linked with the e-mail address registered on the [ Overview ] tab.

  2. Select a member you want to assign as a new representative tenant administrator  and click [ Save ] to complete the process.

If you click [ Change primary tenant owner ], a message saying that "No other tenant owners available" may be displayed.
In this case, the current representative tenant administrator may not have registered an account.

 

You can complete registering an account or change the e-mail address of the current tenant administrator on the [ Overview ] tab. (An e-mail address registered as an account cannot be used.)

If the e-mail address of the current administrator is changed to yours , you will receive a message saying that you have been invited as an administrator.

Follow the procedure described in the message to complete the registration.

 

Sending reminders to members



If a member invited to a tenant has not registered an account, the e-mail icon displayed for the member will be activated.

If you click the icon and click [ Yes ] in the confirmation dialog, you will be able to send an invitation message to the member again.

 

 

 

Deleting members


 

You can delete members for whom the recycle bin icon under [ Actions ] is activated.

If you click [ Delete Member ] for the member you want to delete  and click [ Yes ] in the confirmation dialog, the member will be deleted.

 

 

 

If the deletion process is performed successfully, the e-mail address information of the target member will be deleted from the screen. Check that the information has been deleted.
